General Functions:
Under the general supervision of the Chief of Mission and HoO Almaty and the direct supervision of the Admin/Finance unit, the incumbent will be responsible for:
- Organizing logistics of project events (training, seminars, conferences, meetings, presentations, and others), including travel and hotel arrangements, and trip itineraries as well as take care of participants visa issues
- Assisting in maintaining the communication with project partners (governmental, non-governmental entities) on various project matters;
- Security Focal Point (UNDSS), DRR/ER , and MICIC focal point for IOM Almaty
- Communicating with IOM staff, IOM experts and the project partners (NGOs) on matters of direct assistance to vulnerable migrants in line with IOM guidance notes;
- Communicating with local authorities on IOM security issues when necessary
- Prepare relevant reports in ENG and/or RUS, KZ languages
- Perform other duties as may be assigned.
- Drive office vehicles for the transport of authorized staffs, and national and international experts when required by the supervisor;
- Act as an interpreter in field trips.
- Manage day-to-day maintenance of the assigned vehicle to ensure roadworthiness of the vehicle as well ensure regular car services.
- Make sure that the vehicles always have full tank prior to departure for field trips
- Make sure that the daily long sheet is prepared and a monthly report is prepared summarizing statistics linked to mileage, fuel consumption etc. for the vehicles
- Keep a high degree of confidentiality and discreteness in discussions, which involves IOM’s activity, its officials and victims of trafficking
- Collect and deliver mail/documents/bills as assigned
- Ensure that the steps required by local rules and regulation are taken in case of involvement in accident
- In case of unusual circumstances/security emergencies the information should be brought to the attention of the COM/HoO and the SFP immediately.
- Perform other duties as may be assigned.
Education and Experience:
- High school degree/and/or university diplomat and at least 4 years of relevant working experience.
- Excellent health and good physical condition
- Driving experience
- Working experience with IOs, service providers, clients, etc .
